# Managing your subscription

> Understand plan changes, seat billing, renewals, and payment recovery.

Organization admins manage the plan through **Settings → Billing**. Review the organization name before making changes: the subscription and pooled credits belong to that organization.

## Start or change a plan

Choose Core or Pro and review the billing interval, member count, total before tax, and any displayed proration or effective date before confirming.

Membership determines paid seat quantities automatically. You do not need to buy a separate seat for each workspace a person joins.

A plan change can affect later invoices and credit grants. It does not reset the monthly credit anniversary or turn remaining monthly credits into permanent credits. Use the effective date shown in Billing when planning a change.

## Adding organization members

Pending invitations do not count toward the bill. When a person accepts and joins the organization, an available prepaid seat is reused first.

If another seat is needed, the remaining subscription period is charged proportionally. Admission waits for successful payment. A newly charged seat also receives a prorated credit grant for the remaining credit month.

Adding an existing organization member to another workspace does not add another organization seat. Workspace access must still be granted separately.

## Removing members

Removing an organization member revokes their access immediately. The reduced paid seat quantity takes effect at the existing subscription's next renewal, whether monthly or annual.

There is no current-period seat refund. An already-paid seat can be reused by a replacement before renewal. Reusing it does not issue another credit grant.

Billing shows the paid seat count and any lower quantity scheduled for renewal.

## Renewals and cancellation

Check the subscription status, next renewal, and any scheduled cancellation date in Billing. Follow the subscription-management flow shown there to manage the subscription.

Cancellation does not erase unused welcome or one-time purchased credits. Monthly credits retain their expiration rules; they do not become permanent.

An active Pro or Enterprise subscription scheduled to cancel can retain BYOK eligibility until it ends. If eligibility ends or you downgrade to Core, requests using a connected provider key pause rather than silently switching to platform token billing. You can explicitly disconnect the key to restore platform routing.

## Extra credits are separate

A one-time purchase adds non-expiring credits. A recurring monthly credit package, where offered, has its own recurring payment and expiring credits.

## Payment or activation problems

If checkout succeeds but Billing is still confirming the result, use the displayed retry action. Do not make another purchase just to recover the first one.

For a declined seat payment, repair the payment method and follow the recovery action shown in the app. Existing funded members are not removed just because another member's payment fails.

If the state remains unclear, email [support@plasma.ai](mailto:support@plasma.ai). Include the organization name, approximate payment time and timezone, and the error or receipt reference. Do not include full card details.

## An invited member is waiting for payment

**Your membership is waiting for payment** means seat admission is waiting on the organization's payment state. Ask the organization administrator to resolve the payment issue.

After payment is confirmed, use **Check again**. Accepting an invitation or repeatedly retrying sign-in does not itself resolve an unpaid seat.
